Privacy statement

This statement covers this website — mycoachoffice.com — and the contact form on it. The My Coach Office application has its own privacy terms, which apply once you have an account.

Who is responsible

This website is operated by Treeleaf Business, established in Belgium, which acts as the data controller for the personal data described here.

For any question about this statement or about your data, contact us at info@treeleaf.be. We answer data protection requests from that address.

What we collect, and when

Browsing this website

By default, the marketing pages set no tracking or advertising cookies. Nothing is loaded for advertising purposes unless you have explicitly accepted it — see marketing cookies below. Fonts are loaded from Google Fonts, which means your browser contacts Google's servers to fetch them; Google receives your IP address as part of that request.

Submitting the contact form

When you send us a message, we process the name, email address, topic and message you provide. We ask for these because we cannot answer you without them — the legal basis is our legitimate interest in responding to enquiries directed at us.

Spam protection

The form is protected by Cloudflare Turnstile. To tell people apart from bots, Turnstile receives your IP address and information about your browser directly from your browser, and we send it a one-time token to verify. Turnstile is designed not to profile visitors across sites and does not set advertising cookies. The legal basis is our legitimate interest in keeping the form usable and free of abuse.

What happens to your message

Contact-form submissions are delivered to our support inbox by email and nowhere else. In particular:

  • Nothing you submit is written to a database on this website.
  • We do not build a profile from it, and we do not use it for marketing.
  • We do not sell or share it, and we use it only to answer you and to keep a record of that conversation.

Mail is delivered through our hosting provider's mail servers, which handle the message in transit on our behalf. Once your message reaches the support inbox, it lives there as ordinary email and follows our normal mailbox retention — we keep correspondence only as long as it is useful for support and record-keeping, and delete it when it no longer is.

Marketing cookies and the Meta Pixel

We can measure how well our advertising works using the Meta Pixel, a piece of code from Meta (Facebook, Instagram). When it is active it sets cookies in your browser and tells Meta that you visited a page here, along with your IP address and information about your browser. Meta may connect that to an account you hold with them.

It only runs if you say yes

The pixel is off by default. On your first visit we ask, and nothing is loaded and no advertising cookie is set unless you press Accept. The legal basis is your consent, not legitimate interest. If you decline, we do not ask again on that device and the pixel is never loaded. The site behaves identically either way — declining costs you nothing.

Your choice is stored locally in your browser, not in a cookie, so that simply arriving here does not set one.

Cookies it sets, once accepted

  • _fbp — identifies a browser to Meta for ad measurement. Expires after about three months.
  • _fbc — records the ad click that brought you here, when there was one. Expires after about three months.

Changing your mind

You can change your decision at any time, for this browser:

Withdrawing consent stops any further reporting and deletes the pixel's cookies from this browser. It cannot retract data already sent to Meta before you withdrew. To ask Meta itself about data held on you, use the privacy controls in your Meta account.

Who else is involved

  • Cloudflare — Turnstile bot protection on the contact form.
  • Combell — hosting of this website and delivery of contact-form email.
  • Google — web font delivery via Google Fonts.
  • Meta — advertising measurement via the Meta Pixel, only where you have accepted marketing cookies.

Some of these providers may process data outside the European Economic Area. Where that happens, transfers are covered by the safeguards those providers offer, such as the European Commission's Standard Contractual Clauses.

Server logs

Like any web server, our hosting keeps short-lived technical logs — IP address, request path, timestamp, user agent — for security and troubleshooting. When the contact form rejects a submission, we record that it happened and why, as counts and error codes only. We do not log the content of your message, your email address, or your verification token.

Your rights

Under the GDPR you can ask us to give you a copy of the personal data we hold about you, to correct it, to delete it, to restrict how we use it, or to object to our processing of it. Where we rely on your consent — as we do for marketing cookies — you can withdraw it at any time, and withdrawing is as easy as giving it was. Because contact-form data lives only as email, requests about it are handled directly against that mailbox.

Write to support@mycoachoffice.com and we will respond within one month. If you are not satisfied with our answer, you have the right to lodge a complaint with your national data protection authority — in Belgium, the Gegevensbeschermingsautoriteit / Autorité de protection des données.

Reporting a security problem

If you believe you have found a vulnerability affecting this site or the platform, please follow our responsible disclosure policy rather than using the contact form.

Changes

If we change how this website handles personal data, we will update this statement and the date at the top of the page.
